PracticeSuite permits you to send appointment reminders through email and text message.

Appointment Reminder Setup at the Practice level

Select  Advanced Setup from the menu and click on Notifications.

A. Email Reminder Setup

1.By default, the email tab opens up as in Image 1.

2. Provide details regarding the notification according to Table 1.

Field Description
From (email) Mail ID to be displayed in the From field of the mail
Auth email Mail ID from which the mail is to be sent
Auth. Password Password of the Auth mail
Mail Host Host address of the Auth Mail.
Subject The subject of the alert message sent to the patient.
Message Alert Message that is to be sent to the patient.
Send – days/hours before the appointment- Specify the number of days/hours before the scheduled appointment when the reminder is to be sent
Select Message Option Generic/Template/Appt. Status and Type Specific Templates.
Enable To enable/disable the alert

B. SMS Reminder Setup

1.Click on “Appointment Reminder Text Message/SMS” Tab and select the type of Notification required from the Notification drop-down highlighted in Image 2.

2. Provide details as per Table 2.

Disabled To disable SMS Reminder service
Relatient No setup required in this screen When the practice opts for Relatient which is an Add-On Service, all Parameters will be set up by our implementation team (only one-time setup required)

Reminder Set up at the Patient Level

1.Each patient demographics should contain the contact information of the patient along with their Communication preferences, as in Image 2.

2. A Carrier should be selected in case of selecting home, cell & work phones (Not Required for Telnyx integrated SMS Service).

NB: Carries should be added under lookup type “PHONE_CARRIER” from ALL LOOKUPS. The value of the lookup should be the carrier name and code should be the carrier URL to which phone # to be attached.

This completes the reminder set up and the system will start sending alerts to the patient from the next valid login to this account.
